Thank you Teresa for the article on ten essential ways to have a home office.
penningtonsimon@fhda.edu
19:41
I am so appreciative (Thuy) for everyone joining the Zoom call. We will definitely keep this up. Cabinet and I go over issues in the Chat Room. If issues were not answered Cabinet and I trouble shoot those issues. The issues raised help us frame each meeting.
penningtonsimon@fhda.edu
20:07
Our effort moving forward is to try and have a theme for each meeting. Today’s theme is around IT.

Simon is captioning this for everyone… in case folks are wondering

Our ETS colleagues will be here to help us. We will be polling today. Today ETS. Tomorrow HR. If you have HR questions, drop them in the chat room. I am running this poll on twitter. Should you turn on your out of office email notification?
penningtonsimon@fhda.edu
21:52
Before we focus, we’ll go to Kristy who will give us an update.
Teresa Ong
22:23
Can everyone see chat?
penningtonsimon@fhda.edu
22:44
Kristy: Please look for an email to all faculty. Survey on what topics and training would faculty like during the professional development week. We want to provide sessions that are interesting. Anyone can also host a workshop too.
Laurie Scolari
22:45
Yes we can see the chat Teresa
penningtonsimon@fhda.edu
23:09
Kristy: We will send out a staff survey for the same reasons. That will come out on Friday. Thank you
penningtonsimon@fhda.edu
23:49
Laurie Scolari: Today we will drop a new video from all student services leaders into the chat. I will give my time to Joe Moreau today.

==> Student Services Video
penningtonsimon@fhda.edu
24:37
Thuy: This is a great video. Community College daily has featured Foothill College and our response to the current crisis. It features our virtual student hub.
Teresa Ong
25:00
All: it seems chat is only working for hosts. So sorry! Working on it.
penningtonsimon@fhda.edu
25:00
Melissa Cervantes: Is not present
penningtonsimon@fhda.edu
25:57
Melissa is here now: For employees..Carolyn is hosting office hours on Zoom from 7:30 AM - 9:00 AM. The virtual student hub is available. Direct students to the website. Students can drop into the Zoom room for support.

The emergency relief fund is ongoing. Wifi hotspots and loaner laptops are available. We will get these to students ASAP.
penningtonsimon@fhda.edu
27:17
Thuy: We started the hub with the emergency fund so we could provide these items to students. Having something that is a one stop shop is helping students individually.
penningtonsimon@fhda.edu
27:39
Please faculty, if you know students who need help, let Melissa know.
penningtonsimon@fhda.edu
28:04
Joe Moreau: Thank you for making time for us today. Kindness, compassion, and technology will get us through this crisis.
penningtonsimon@fhda.edu
28:20
Laurie: Some items…VPN.
penningtonsimon@fhda.edu
28:26
Joe: Sgharon has an answer.
penningtonsimon@fhda.edu
29:10
Sharon: some old version so operating systems have a bug (especially Apple). Put in an ETS work request and we’ll give you a new VPN service.
penningtonsimon@fhda.edu
29:22
You will be helping us out by testing the new VPN.
penningtonsimon@fhda.edu
29:43
Joe: To be clear, not everyone needs VPN access. Very few people in the district will use this.
penningtonsimon@fhda.edu
30:26
We will get you hooked up to the new system if needed.
penningtonsimon@fhda.edu
30:31
Laurie: Phone trees?
penningtonsimon@fhda.edu
31:55
Joe: Sharon can address…if someone has questions, please put in an ETS work request. We can help you make the changes. Financial aid and counseling have already done this.
Teresa Ong
32:16
All: Chat seems to be not working for everyone. If you have specific questions, can you send them to me via private msg?
penningtonsimon@fhda.edu
32:17
Joe: Sharon’s team is responding as quickly as possible. They are using their laptops and smartphones.

Question - how is the college sending information / reaching our students with updates? Thanks
penningtonsimon@fhda.edu
33:56
Joe: I sent out an alert notice a few days ago. We need to be alert to the presence of these criminals. If you get any kind of email asking for credit card numbers, etc., be careful. Lots of Phishing scams. Be super vigilant. A southern California payroll supervisor fell victim to a recent scam, so be vigilant.
Teresa Ong
34:18
Ans: Direct email from Marketing, various groups such as EOPS, Financial Aid, International students
penningtonsimon@fhda.edu
34:21
Be especially careful of scams asking for gift cards.
penningtonsimon@fhda.edu
34:56
It is impossible to recover those funds. If you have questions, reach out to Joe or Sharon.
Teresa Ong
35:06
Ans: Website for students is up also: https://foothill.edu/virtualcampus/
penningtonsimon@fhda.edu
35:10
Laurie: Wifi? Some folks are having issues at home.
penningtonsimon@fhda.edu
35:39
Joe: people’s home wifi is difficult for us to deal with.
Teresa Ong
35:46
@lene: Can you answer this question: Are any messages about updates and help being sent out through Canvas to our students?
Laurie Scolari
35:48

penningtonsimon@fhda.edu
36:38
Joe: I am not sure we can provide good guidance to everyone. I live in the Santa Cruz mountains so I have my video off to save bandwidth. When I have trouble with wifi, I turn devices off and then back on. rebooting might solve the problem.
penningtonsimon@fhda.edu
36:49
The internet is getting swamped. Everyone is online!

Joe; if we come up with tips, we will share with everyone on our Instruction support page. When in doubt, power down and power back up.

Rebooting will bring it back on.

Thuy: Thank you Vice Chancellor. This background shows an owl at Foothill.
penningtonsimon@fhda.edu
39:15
Questions; Can people be reimbursed for upgrading their wifi service at home? Joe…no, they will not be reimbursed.

Debbie’s Q: Can we use FEMA funds to reimburse faculty? Answer: I don’t know, will get back to you Debbie.

41:18
Simon: Marketing Department has updated the website; letter sent to all faculty (the virtual campus website); starting an aggressive marketing campaign for Spring and Summer (video content, radio, print, etc); Lene and Carolyn are providing Professional Development opportunities from home.
penningtonsimon@fhda.edu
41:28
Thuy: Vice Chancellor Novotny will be joining us tomorrow.
Teresa Ong
42:01
Angela’s Qu: Thanks for asking for me. The concern is we can’t go to campus now to deliver our virtual instruction. I have several PT faculty who have lower speeds. It would seem okay for a few weeks. But the concern is if we are to plan for the worst case scenario, and this goes on for several months, this can be a probleem
Teresa Ong
42:29
@Angela: will find out
penningtonsimon@fhda.edu
42:38
Thuy: Thank you to everyone for joining us. We will be posting every day and the posted video doe shave close captioning. Please fill out the poll. 98% are not turning on their out of office message. See you all tomorrow.
